The Control CenterCentre appears when you log in to Xactimate. It is the starting place for all functions, such as creating and editing projects, setting preferences, and downloading and modifying price lists.

The Control CenterCentre contains fourthree tabbed pages: Control CenterCentre (main page), Projects, and Price List, and Project Management. In addition, it contains a number of menusoptions that allow access to other features that don't apply specifically to the tabbed pages.

Dashboard window

The Control CenterCentre Dashboard window allows you to open recent and new projects without searching through the entire Projects SmartListList. On the Project Preview pane you can view the sketch of the selected project.The dashboard also contains the XactAnalysis Communications pane. You can see the Dashboard window from the Control CenterCentre main page once you log into Xactimate.

Multiple Admin Download

The Multiple Admin. Download Information window automatically creates an estimate for each insured, and enters Claim Information into the estimate, such as the Insured's name, address and phone number. You can see this window by clicking the Mult. Admin Download button from the Control CenterCentre Dashboard window.

If you have received an ECA Excel file [*.xls] to enable you to download multiple files, you can import the information from that file by using the following procedure:

  1. Click the Import button.

  2. Locate the ECA file.

  3. Highlight the file and click OK.

To add projects to the list, click the Add button, enter the claim numberclaim reference and select a type, then click OK.

When all the projects have been added to the Add Projects list, click the Download button to download the information to your computer. The status of the projects that are being downloaded will appear in the Download Status window pane.







Item Hierarchy Editor

The Item Hierarchy Editor allows you to add refined topics and line items to your Reference Searches. You can open the Item Hierarchy Editor by clicking the Settings menu in the Control CenterCentre, then choosing Item Hierarchy Editor.

When you open the Item Hierarchy Editor, you must first choose a price list to modify. After you've selected your price list, Xactimate opens the Images page, where you can select to hide or display specific reference search graphics. (The default is for all to be displayed.)

When you click the Hotspots tab, you'll see a list of "hotspots" used in the Reference Search feature (a hotspot is the area on the graphic where you can click to see a list of related line items). You cannot add a hotspot to this list, but you can add refined topics and price list items/vendor items to the hotspots.

To add refined topics and price list items/vendor items to the hotspots:

  1. Highlight the hotspot you want to add topics/items to.

  2. In the Refined Topic column (the CenterCentre column), click Add.
    The Refined Topic Description window appears.

  3. Type the text of the refined topic you want to add.
    This topic can be any text you choose to add.

  4. Click Add.
    Xactimate returns to the Hotspots page. The refined topic that you added has a note icon next to it, and the text of the hotspot changes to red.

  5. Click Save.
    Xactimate returns to the Control CenterCentre.

To add a price list item to a refined topic,

  1. Highlight the refined topic you want to add a price list item to.
    This can be a default topic or a topic you've added already.

  2. In the Price List Items colum (furthest to the right), click Add.
    The Select Price List Item window appears.

  3. Click the Category drop-down button and select the category for the price list item you're adding.
    The lower field will become filled in with the selector items that belong to that category.

  4. Click the selector code for the price list item you are adding, then click Add.
    Xactimate returns to the Hotspots page. The price list item that you added has a note icon next to it, and the text of both the hotspot and the refined topic changes to red.

  5. Click Save.
    Xactimate returns to the Control CenterCentre .

Note: You cannot add a new price list item from the Item Hierarchy Editor.

From anywhere in the Xactimate Control CenterCentre, you can click the File menu and choose Automatically create new project (or press Control-N on your keyboard) to open a new, empty estimate.







Exit

You can choose Exit from the File menu anywhere in the Xactimate Control CenterCentre to close Xactimate.

You can choose Exit from the File menu from within any estimate to close that estimate.

You can choose Exit from the File menu from within the Report Editor to close the Report Editor.







Control CenterCentre View menu

The Control CenterCentre View menu displays the following options:







Status Bar

The status bar appears (by default) at the bottom of the Control CenterCentre and at the bottom of every estimate. It displays such information as the language, date, and time (in the Control CenterCentre), and also the status, profile, subtotal, grand total, and coverage limits (in an estimate).

Note: Clicking Grand Total in an estimate displays the Summary Totals Report. Clicking Coverage Limits in an estimate displays the Coverage Limits SmartListList, where you can make coverage edits.

You can toggle the status bar on and off by clicking the View menu and then clicking Status Bar; the checkmark indicates that the status bar is enabled.







Reset Dashboard Views

If the look of the Dashboard window has been modified, you can return it to its default look (Projects pane in the upper left corner, Project Preview in the upper right corner, XactAnalysis Communications pane at the bottom) by clicking the View menu and choosing Reset Dashboard Views.







XactAnalysis (menu option)

Clicking the XactAnalysis menu option (under the Views menu) toggles the XactAnalysis Communications pane on and off on the Control CenterCentre Dashboard window. The checkmark indicates that the XactAnalysis Communications pane is viewable.







Projects (menu option)

Project Preview pane

The Project Preview pane appears by default in the upper right corner of the Control CenterCentre Dashboard window and at the bottom of the Projects window. It displays the lowest level of the sketch of the estimate highlighted in the Projects window (or Projects pane). (The arrows at the bottom of the Project Preview pane allow you to view other levels of the sketch. Click the Project Preview tab at the lower left of the Projects pane if Project Preview is not visible.)

You can toggle the Project Preview pane on and off by clicking the View menu, then highlighting Project Preview and choosing Show Project Preview. The checkmark indicates that the Project Preview pane is viewable.

You can also choose to show project notes instead of a sketch in the Project Preview pane. You can do this by clicking the View menu, then highlighting Project Preview and choosing Note. You can return to the sketch preview by clicking View, Project Preview, then Sketch.







Control CenterCentre XactAnalysis menu

Update from Disk

The Update from Disk feature allows you to add an XactContents price list from a local hard drive or network or flash drive onto Xactimate. You can use this feature by choosing Update from Disk from the XactAnalysis menu in the Control CenterCentre.

Before you add the price list, you must download it from the Xactware ftp side. To do this, go to the following site using Internet Explorer or other ftp client: ftp.xactvalue.com. You can access this site using the login name xactcontents and password 25update. You can then save the price list you want to your hard drive/flash drive/network drive.

After you've downloaded the price list, you can choose Update from Disk from the XactAnalysis menu. Enter the data path where the file is located into the Location of Disks field (or click the Browse button to browse to the data path), then click OK. Xactimate installs the XactContents price list, which can then be viewed from within any Contents estimate.

The Control CenterCentre Modules menu displays the following options:







Activity Calendar

The Activity Calendar allows you to view and edit the activities for all the projects you are working on, and reminds you of the date and time an activity needs to be completed. You can view the Activity Calendar by choosing Activity Calendar from the Modules menu anywhere within the Control CenterCentre.

An activity is any task you need to perform to complete a project. Examples are: estimating, scoping, follow-up visit to client, etc.

The Activity Calendar contains Day, Week, Month and Year views. You can easily change from one view to another by clicking the icons at the top of the calendar window. Clicking the arrow buttons along the bottom of the calendar moves to different days, months, and years.

To add an activity, click the Add button and complete the fields in the Add Activity window that appears. You can also highlight an activity on the list and click the Edit button to make changes to an existing activity.

Note: You may not be able to see the Activity Calendar from the Control CenterCentre in every profile.







Add/Edit Activity window

The Add Activity window allows you to create an activity that can be added to the Activity Calendar, so you can keep track of the tasks you need to perform for your projects. You can see the Add Activity window by clicking the Add button from the Activity Calendar.

The Edit Activity window is nearly identical to the Add Activity window and lets you make changes to an activity in the Activity Calendar. You can see this window by highlighting the activity you want to edit in the Activity Calendar window, then clicking Edit.

The Project field at the top of the window allows you to link this activity to any project in your Project SmartListList by clicking the SmartListList button and selecting the appropriate project. (Activities added in the Activity calendar are added to the project's Activity Report.)

Enter the new activity information in the Process, Activity, and Description fields. For example, Initial Visit could be a process and the activity could be Scope the Loss. (Xactware does not have any specific recommendations for what you should put into the Process and Activity fields; these were deliberately left open so you could define them as needed). If you have previously created an activity for this type of task, you can click the Import button, select the activity from the Activity Import SmartListList that appears, and click OK; the activity information will automatically fill the Process, Activity, and Description fields. If any notes are included in the activity, these are added as well.

Enter the proper dates in the Due and Completed fields by clicking the drop-down buttons and selecting the dates.

You can track expenses in the Expense List section of this calendar entry by clicking the Add button. Fill in the fields in the Add Expense Item window to account for the expense, then click OK. Repeat this step for as many expenses as you need to add.

If you check the Remind Me checkbox, a reminder window appears to remind you to complete this activity on the date you entered in the Due field. The Continuous Add checkbox allows you to add multiple activities without having to keep opening the Add Activity window; when you click OK, an empty Add Activity window appears.

Note: We recommend you add any frequently used activities to the Activity Import SmartListList, so you won't have to duplicate your work often.







Xactimate Word Template Editor

Xactimate allows you to create customized documents in Microsoft® Word that allow you to use tokens in the document. You can do this by choosing Xactimate Word Template Editor from the Modules menu in the Control CenterCentre and following the instructions.

A token is a shortcut to typing a particular data record that has already been recorded. For example, if you want to make reference to an estimatorsurveyor in a letter to your client, you can insert the EstimatorSurveyor token instead of typing the estimatorsurveyor's name, and Xactimate will print the name when you view or print the report.

You can only create customized documents in Microsoft Word 2003 or 2007 or later.







Xactimate Excel Template Editor

XML/Import Assignments

The XML/Import AssignmentClaim option allows you to import assignments. You can see this option by clicking the Modules menu and clicking XML/Import Assignments, or by clicking Import Assignments from the upper-right corner of the Control CenterCentre main page.

After you've selected this option, Xactimate informs you when the assignments have been imported.

(Only certain profiles will see this option.)

Change Profile

The Change Profile option allows you to change profiles without logging out of Xactimate completely. You can see the drop down option from the Control CenterCentre tab under the Dashboard or from the Preferences page.

If you need an additional profile, contact Xactware's TeleNet Sales Team at 1-800-424-9228020 7680 4970. To obtain a profile that was designed for a specific company, you will first need authorization from that company.

Download Excel Template

The Download Excel Template menu option allows you to download a copy of the XactContents Excel Spreadsheet. This option appears in the upper right portion of your Control CenterCentre main page.

To download an Xactimate Express Spreadsheet Template (in Microsoft Excel format):

  • Click the Download Excel Template button.

  • Save the spreadsheet to your computer.
  • This spreadsheet can be used to record contents items associated with the claim.
  • The items on this spreadsheet can then be imported into your Xactimate Express estimate.

To import information from the spreadsheet into Xactimate Express:

  • Go back into your estimate and click Import From Excel from within the Tools menu.

  • In the Excel Import screen, click Browse and search for your saved spreadsheet.

  • Click Open.

  • Click OK to begin importing into your estimate.






Install New Profile

Xactimate is available in several customized versions—profiles—because the needs of different types of users vary. The features available in each profile have been tailored to meet the needs of a specific type of user or even a specific company.

If you don't have the profile you need for a particular estimate, you can install one via XactAnalysis. Click Install New Profiles from the Control CenterCentre . the Services menu from the Control CenterCentre and choose Install New Profiles. Click to select the correct XactAnalysis configuration; then, after your computer has connected to XactAnalysis, the Select Products window appears. Place a checkmark next to any profile you would like to install, then click NextSave, and the correct profile is downloaded.

If the profile you need is not available to you, call Xactware's TeleNet Sales at 1-800-424-9228020 7680 4970 to have that profile added to your key code.

Profile Version Manager window (Manage Profile Versions)

The Profile Version Manager allows you to view the version of Xactimate that each profile is set to. You can see this window by choosing Manage Profile Versions from the Services menu in the Control CenterCentre.

With the release of Multiple LicensingLicencing by Xactware, certain carriers approve specific versions of Xactimate for use with their profiles. The Profile Version Manager window is where Xactimate states which version it will use to open each profile.

Note: If you don't see a specific profile in this window, this is because it has no preference and has been moved to the most recent version of Xactimate.

The bulk of this window is a grid with four columns: Action, Profile, Current Version, and Authorized Version







Feedback

The Feedback process helps keep price lists fair and accurate, based on real-world data from actual estimates. Data provided to Xactware for feedback is confidential and is used only for statistical purposes.

Note: To submit feedback data via XactAnalysis, you must first have registered with XactAnalysis.

On the main Control CenterCentre menu bar, click the Services menu and choose Feedback. A window asks for confirmation that you want to collect feedback data and send it via XactAnalysis. Click Yes to proceed. The File Transfer window displays your progress as the feedback data is packaged for transmission. At the conclusion of this process, click OK. to jump to the Dashboard window. Click Connect to establish an XactAnalysis connection. When the connection is made, your feedback data is transmitted to Xactware.

Only estimates marked Completed are included in your feedback data. If Xactimate detects that no estimates have been marked Complete since the last time you ran Feedback, it cancels the feedback process.

Your participation in the feedback process is appreciated.







Add New User/Resource window

The Add New User/Resource window allows you to create a unique ID code for the user you are creating. After you click OK in this window, Xactimate will take you to the User Information window, where you can finish adding the user's data.

The Add User window allows you to create a new user for Xactimate. It lets you enter the user's e-mail, code, name, password, title, XactNet address, and security groups.

To see the Add New User/Resource window, click the ServicesSecurity menu in the Control CenterCentre and choose Users. Click the Add button from the User/Resources SmartListList.

The first step in adding a new user to the system is to assign an ID code unique to the user.

Many users find it convenient to use the initials of the new user as the ID code. The User ID may not exceed eight characters in length.

Your e-mail alias should be used as your user ID.







Edit User Information window

The Edit User Information window lets you enter or edit the name, title, security group, e-mail, and password of the user. It also displays the user's XactNet address, and the address groups the user is a member of. You can sign up for new releases, tips and tricks notifications, and downtime and system alerts by clicking the appropriate checkboxes.

To access the EditUser Information window:

  1. Select Preferences from the Control CenterCentre.
    Note: Verify the Settings option is set to Environment.

  2. Select the Security node from the navigation tree to the left.

  3. Expand the Security node and choose the Users node.



    The following appears:



    On this screen you will be able to add, edit, and delete users.

  4. Now highlight an existing user from the Users/Resource SmartListList and click the Edit button.
    On this window you will be able to assign a security group, select an Address Group(s) and change the selected user's password.



  5. Select OK to exit and save your changes.






Security Group Setup window

The Security Group Setup window allows you to define your security groups. You can see this window by clicking Add from the Security Group SmartListList, or by highlighting an existing security group and clicking Edit.

This window displays all modules and areas of Xactimate, and lets you determine if this security group has access to this area or not.

Click to place a checkmark in the checkbox for each module you want this security group to have access to. If you want the members of the security group to have access to some parts of the module but not others, click the check box next to the module to see each part of the module, then place a checkmark in the checkbox next to each part of the module you want the members of the security group to have access to.

When you've defined the security group, click OK.

You must have Supervisory rights to edit security groups.








Security Groups

Security groups are sets of access rights that determine the program features available to each user. Concern about security can vary dramatically, depending on the type of user. Some organizationsorganisations need to restrict access to certain features, whilewhilst others allow full access to all options. If security is not an issue for your organizationorganisation and you already have full rights, then you can ignore this feature.

In a security-conscious environment, a system administrator normally defines different security groups that provide the degree of program access required by different types of users.

Security Groups window

The Security Groups window allows you to define your security groups. This window displays all modules and areas of the program, and lets you determine if this security group has access to this area or not.

You can see this window from the Security Group SmartListList by clicking Add to create a new security group, or by highlighting an existing security group and clicking Edit.

Click to place a checkmark in the checkbox for each module you want this security group to have access to. If you want the members of the security group to have access to some parts of the module but not others, click the check box next to the module to see each part of the module, then place a checkmark in the checkbox next to each part of the module you want the members of the security group to have access to.

When you've defined the security group as you want it, click OK.

You must have Supervisory rights to edit security groups.








Add New Security Group window

To add a new security group, click Add from the Security Group SmartListList. The Security Group Setup window appears. Type a code (you can create this code on the spot) for the new security group, then a description. Use the lower half of this window to determine the features this security group has access to, then click OK when you're finished.







Change Password

The Password window allows you to change ayour user's login password. To see this window, choose Usersfrom the Services menu in the Control CenterCentre. Highlight your user ID and click Edit, then click Change Password. To see this window, click the Settings menu and choose Preferences. You can click the Change Password button from the Preferences tab. Type your current password, then type the new password in both New fields, then click OK.

Default settings for passwords, such as length, frequency of change, and disabling passwords can be set in the Security Setup window.

Passwords are case-sensitive. Sample passwords could include x9z712, bonZo, Here'sLookingAtYou, etc. Try to select something that you will remember readily, but that isn't easy for someone else to guess. For example, avoid using the names and birthdays of family members.







Manage User Licensces window

The Manage User Licensces window contains a list of the Xactimate users... . You can find this window by clicking Manage User Licensces from the Services menu in the Control CenterCentre.







Reset Window Positions

Selecting Reset Windows Positions returns all the panes, window positions, and SmartListLists to their default sizes and positions. You can select this option by choosing Reset Window Positions from the Services menu in the Control CenterCentre.







Upload Projects

If you're connected to a network, you can use the Upload Projects feature to transfer your completed estimates to a network location of your choice. This feature is particularly useful for field estimatorssurveyors who, for example, need to transfer completed estimates to a regional headquarters by modem. the Xactimate Server.

Choose Upload Projects from the Services menu in the Control CenterCentre, then enter the interval you want Xactimate to use to check for uploadable assignments. Enter the path where you want the assignments sent to. Select the language you want reports generated in.

Note: You can also set Xactimate up to automatically upload the completed estimates to the Xactimate Server. You can do this from the System Setup Automatic Upload page.

Company Account window

The Company Account window allows you to enter basic information about your company and how it interacts with Xactimate. You can enter your company name, address, and phone number. You can also determine how a user's passwords should expire. In addition, you can also see your key code and how you make payments to Xactware.

You can see this window from the Control CenterCentre page by clicking the Security menu and choosing Company Account.







Language menu/menú Idioma/menu Langue

You can run Xactimate in English, French, or Spanish.

To run Xactimate in a different language, go to the Control CenterCentre and click the Language (or Langue or Idioma) menu. Click the language you'd like to run Xactimate in; after a short pause, the Xactimate Control CenterCentre appears in the language you've chosen.

You can get answers online with self-help, e-mail and live-chat support 24 hours a day, 7 days a week.

Make sure that you are connected to the Internet, go to the top of the Xactimate window you are working in, click the Help menu, and select 24/7 Online Support. Xactware's eService CenterCentre will open in a new browser window.

Since the eService CenterCentre is available to customers only, the first time you access Xactware's eService Center,Centre, click Register Now! and complete the registration form. Your User ID and Password will be sent to you via email.

In addition to the online support, you can also contact Xactimate phone support by calling (800) 710-9228. There is a $20 fee for this service.

Xactimate Help

The Xactimate Help topics help you learn how to use Xactimate. You can see the Xactimate Help navigation tree on the right of the Control CenterCentre, Price List Editor, Report Editor, and any estimate. (If you don't see the Xactimate Help navigation tree, choose Xactimate Help from the Help menu, or click Help at the upper right of the window.)

The Xactimate Help navigation tree is divided into four sections: Search, Training Topics, Related Items, and Additional Help.

To search for a topic, enter key words that are associated with the topic In the Search field, then click the Search button; the results of the search appear in the Training Topics section, below.

The Training Topics section displays training topics related to the Xactimate window that is currently active, or it displays the results of a search made in the Search section.

The Related Items section lists topics that are related to the topics in the Training Topics window.

Clicking 24 Hour Online Support in the Additional Help section opens Xactware's eService CenterCentre, which features a variety of support services, including chat, e-mail, self-help, a user forum, downloads, etc. These support options are available to Xactimate users at no additional cost.

Help Feedback

The Help Feedback feature allows you to give feedback to Xactware by sending your comments through e-mail. You can see help feedback at the bottom of any Xactimate Help window, as a link titled Click here to comment on this help topic.

When you click the link, the comment form appears. Click the Rating drop-down button to select the rating you think is appropriate for the topic. Filling in the E-mail field is optional, but if you include your e-mail address, Xactware will be able to contact you if there is anything that we may need to clarify. In the Comments section, enter any inaccuracies that you found in the topic. You can also include your thoughts on how we could improve the Xactimate Help topic, or if the topic was helpful to you.

The About Xactimate window displays legal and licensce information about Xactimate and Xactware. You can also see your product key code, version number, serial number, and XactAnalysis address. You can see this window by choosing About Xactimate from the Help menu anywhere in Xactimate.







Login Window

The Xactimate login window is where you identify yourself with your user ID and your password (if you have opted to use passwords). This is the first window you see when you begin to log into Xactimate.

If you're running this copy of Xactimate for the first time, you need to determine the appropriate new user ID and password to enter here (this depends on the profile you're using). Some organizationsorganisations have their own first login ID and password that are unique to their profile. If you think this may be the case for your organizationorganisation, check with your supervisor.

Warning! Keep a copy of your password in a safe place. If you forget it, you will be unable to access your estimates.

Simplified Installation and Maintenance

Installation, User Authentication and Service Pack Re-Design: Xactimate 27 offers a simplified install with Express or Advanced setup options. The new installation process allows user authentication to occur with XactAnalysis. Plus, if you’re an existing Xactimate user, the setup windows are automatically filled in with any data that you’ve previously provided to Xactware. Moreover, you can now run service pack updates all in one process.

XactNet Addressing LicensingLicencing: Xactimate 27XactRemodel 3 uses named seat licensinglicencing for network installs; in other words, all Xactimate licensces are now tied directly to an XactNet address. Administrators can use the Manage User LicenseLicencesManage User Licences option to manage users. In addition, administrators can use XactAnalysis to manage their licensces and active addresses, as well as disable addresses that are no longer being used and make those install tokens available to others.

Windows 7 Integration: Xactimate 27XactRemodel 3 now supports Windows 7 integration (both 32-bit and 64-bit).

General Estimating

Estimate Items Simplification: Estimate Items and Summary are now merged into one window to be more user-friendly.

Green Item Searches: Use the Green Items search feature to filter and search for all items identified in the Xactimate Price List as “green,” or sustainable.

Ready Access to XactAnalysis Previous Loss Data and Claim Info: Access previously uploaded Sketch information and loss data with XactAnalysis Previous Loss data, available within Xactimate estimates. In addition, for customers of Claim Info, all Claim Info data is now available within Xactimate estimates.

New Recycle Bin: Whenever you delete or revise an estimate, Xactimate 27 automatically saves a copy of the estimate in a recycle bin where it will reside, by default, for 30 days before being permanently deleted. After an estimate is in the recycle bin, it can be recovered from a previous state and is available if the file becomes corrupted or gets lost.

Payment Tracker Report Print Enhancements: The enhancements made to the Payment Tracker report let you print line item notes. You can also print Payment Tracker reports from the Estimate Reports window without opening the Payment Tracker module.

New Closing Statement: You can now include a closing statement different from your opening statement. The closing statement text pulls from the Model Statements list and can be used to add legal text to the end of a report. The statement will begin printing about a half inch 1.27 centimeters below the end of the last section in the report.

Sketch

Sketch Stairs/Stairs Reference Search: The Sketch Stairs feature now offers all of the flexibility needed to quickly and easily create simple or complex staircases, including curved staircases. It also enables you to add landings, create rooms below stairs, and add multi-flight staircases. Furthermore, staircases can now be placed both inside and outside of a room, and can be viewed in 3D before they are placed.

Sketch-Related Item Search: Quickly conduct a Related-Item search in Sketch. You can also add multiple related items to a structure with one click.

Online Sketch Template Gallery: To better accommodate the storing and sharing of Sketch templates, Xactimate 27 includes an Online Sketch Template gallery. With this feature, you can search for and download templates created by Xactware and other users in the field. It also lets you upload and share your templates and rate the usefulness of templates submitted by others.

3D Estimate: Generate exterior walls with the click of a button. Combine this with Sketch’s ability to now add items from 3D and estimating the exterior of a structure is easier than ever.

New Sketch Properties Control: The new Sketch Properties control provides a quick method for modifying properties within Sketch. Whether you want to select multiple roof faces and adjust the slopepitch, rename a room, or change the colorcolour and texture of an exteriorexternal brick wall, the new Sketch Properties control makes it easy to do so.

Locking Roof Dimensions:You can now create a wide variety of roof types. Lock ridges in place to drag-and-drop rafter lengths, lock eve heights, or lock the slopepitch of each roof face to ensure consistency.  

Arced Walls: Use the new arced wall feature to create curved walls and staircases. After your curved wall is created, it is easy to add items, windows, doors, and missing walls in either plan view or 3D.

Other Sketch Enhancements: Xactimate 27 also provides additional Sketch enhancement that allow you to:

  • Enter items from a Summary view in Sketch
  • Place a roof between levels and adjust the height in 3D
  • Add items to all roofs with a singleitem variable
  • Add a turret, bay, or bow roof to your Sketch
  • Easily add a fence using the new Sketch Fencing Wizard
  • Modify items that were added using Sketch Wizards

XactContents

XactContents Database Management: Adjusters who are always connected to the Internet can now use the XactContents Online database to price items—as well as get the most up-to-date pricing information available—without downloading a local database each week.

Category and Selector Global Changes: You can now globally categorize items by adding a category and selector for similar items once, rather than having to change each item individually.

Enchanged Item Categorization: Quickly anbd easily locate a category and selector for an item by entering a few key words about it in quick Entry and the Contents Cat/Sel Review tool, which means you no longer need to know categories or selectors to find items.

Optimized Quick Entry View: You can now easily reset to an Xactcontenets optimized view to see all column headers in Quick Entry wihtout having to scroll horizontally.

Enhanced Excel Import: Spell check haqs been added tot he Excel Import template. Plus you can now highlight items over a specified dollarpound value when importing from Excel.

Skip Pricing—Mark as Priced: This new feature allows you to mark items as either Skip Pricing or Mark as Priced, enabling you to easily keep track of items that still need to be priced and those that don't.

Improved Search Performance: Searches from integrated Internet search providers are now reteurned twice as fast as before.

Images in Search Results: Search results now display pictures for both vendor and integrated Internet search items, allowing you to visually confirm that you're selecting the right item.

Predictive Text: Predictive text is now avilable in both the search field and the Description field of Quick Entry. This feature helps save you time by completing a search term for you, as well as allowing you to see, quickly select, and add an item to y our estimate wihtout having to conduct a formal search.

NexTag integration: NexTag has replaced the Shopping.Yahoo integrated Internet search, allowing for faster, better, and more reliable item searches.

Additional Internet Search Links: Xactimate 27 includes clickable Internet search links for Dooney & Bourke, Coach, Dolce and Gabbana, and Sony, enabling you to search for, find, and add line items for these vendors all within XactContents.

External Item Source Enhancements: Items priced through the External Item Source now automatically include a note that lists the web address and the date the item was found.

SublimitArticle Limit Recap in Summary: Summary report sections now include a sublimitarticle limit recap consisting of the sublimitarticle limit description, single item limit, aggregate limit, Actual Cash Value (ACVIDV), Replacement Cost Value (RCV), and any overages that may apply.

Taxable Defaults: XactContents 27 includes sales taxVAT rules for different statesregions, which automatically apply exclusions for certain items until a predefined dollarpound amount is reaches. The system also automatically applies any changes that you make to sales tax to your estimate reports.

Auto-Tag Line Items: All items added to an estimate are now tagged with the source and vendor of where the items were found. Plus, this new feature also lets you send filtered referral assignments to specific vendors based on tags.

Inspection Not Performed: Whenever an inspection is not needed or does not occur on a loss, you can now specify in your estimates that an inspection was not performed.

E-mail Vendor Item Links—Images: The e-mail from the E-mail Vendor Item Links tool now includes the line item's picture when available.

Re-sequence Line Numbers on Complete: After an estimate is marked complete, a new prompt will appear, asking if you want to re-sequence line item number if any of your items are out of sequence.

Payment Tracker reports: You can now print item notes, such as where to buy an item, what an item is called, etc, in Payment Tracker reports.

Customization and Automation: You can now customize column headers and widths based on the information you want to see in Payment Tracker. This helps you focus on the most important data within Payment Tracker. Direct replacement items now display in Payment Tracker as well. Also, Receipt Management slaes tax is now calculated automatically on the purchase price of all items, eliminating the need to manually calculate sales taxVAT for tax jurisdictions tied to a specific line item. Control CenterCentre

Drag and Drop Data Transfer: Users can click and drag a folder containing data transfer files to the Data Transfer button on the Xactimate Control CenterCentre. Doing this transfers all the files into Xactimate.

Advanced Options Added to Data Transfer Backup: Advanced options have been added to the data transfer backup. These options allow users to specify what should be done when a duplicate is found (overwrite, prompt, rename, skip, etc).

Price List Protection: A Price List Protection button has been added to the Price List Editor, giving companies more security over their price lists. This feature allows users to customize a pricelist for their company, and then set a password to control changes. Xactware and custom price lists are also clearly specified.

Project Management Module

*Task Percentage Complete Tracking: Xactimate can calculate and adjust the amount of a task that has been completed as a percentage of the total work for the task. As work progresses on a project, the completed percentage is updated automatically, and the user can make manual changes to the Percent Complete fields as well as the corresponding finish dates.

*Milestones & Critical Path Notifications: Milestones can now be set in the schedule. Milestones are zero-duration tasks that, like all tasks, can have dependencies and resources assigned to them. Users are warned when a milestone or critical path task is not met.

*Baseline Schedule: Xactimate allows for users to set a baseline schedule for a project within the Project Management module. The Baseline schedule displays the original expectations for the project and can be used to compare against the actual schedule, which may include delays and additions to the original plan.

*Upload Project management reportsM.I. (Management Information) to XactAnalysis: The option to Upload to XactAnalysis has been added to the Project Management module. This allows users to upload an assignment’s Project Management report to XactAnalysis.

General Estimating

Opening and Closing Statements by Region: Since many statesregions have specific legal text that must be displayed on estimate reports, the process of associating model statements by stateregion is now automated. This feature allows statements to be set up as a default for each profile.

*Note Added to Roof Measurement Requests: A Note field has been added to the Roof Measurement Request form. If text is entered into the Note field, Xactimate adds this data to the request sent to the measurement provider.

*Square FootMeter Tool in Valuations: A tool has been added in the ResidentialDomestic Valuation module that allows users to more accurately represent the above- and below-grade square footage for traditional, bi-level, and split-level structures.

Sketch Regional Defaults: Due to the varying construction defaults that exist throughout the country, organizations have the ability to define geographic regions for Sketch construction defaults.Each profile can be setup with a unique set of regional defaults.

Double-Click to Open the Modify Line Item pad in Sketch: After an item has been added in Sketch, users can open the Modify Line Item pad by simply double-clicking on the Item Number column in the Item List below.

*Inspection Enhancements

  • Inspection Tool: The option to run the Inspection tool continuously now provides instantaneous inspection rule violation notice without interrupting the user’s current task. It also allows users to open the tool and address the potential rule violations.
  • Inspection Link: An Inspection link has been placed in the Xactimate status bar. This link behaves similarly to the Coverage Limits link. After a potential inspection violation is detected, the link appears in red. Clicking this link displays the Inspection Information window, where the potential rule violations can be addressed.
  • Inspection Tray Message: A message shows that there is potential inspection rule violation information to review.

*Quality Review for Re-inspectors

  • Estimate Analysis Functionality: Xactimate uses a new estimate analysis functionality to track and report changes that are made to an assignmenta claim so that re-inspectors can quickly the modifications and complete the Quality Review form. This information is uploaded to XactAnalysis QR for reporting and management information usage.
  • Quality Review Form: The Quality Review Wizard is available within each Quality Review assignmentclaim. This form allows users to re-inspect and compare the original claim assignment with the modified estimate. The information is uploaded to XactAnalysis as part of the completed quality review in Xactimate.

*XactScope
XactScope has been created for the purpose of gathering scope information (room dimensions, line items, voice notes, images, etc.) using a mobile device. The information is then imported into Xactimate, either as a new project or to supplement an existing project. XactScope runs on several models of the BlackBerry devices.

  • Xactimate/XactScope Synchronization: Xactimate communicates with XactScope via the XactScope cloud. When connected, the XactScope Cloud downloads existing scopes and their statuses, as well as processes any new scopes or deletions made by users.

Control CenterCentre

*Aerial Sketch: As part of the assignmentclaim process, aerial images are now available for download via XactAnalysis. From within Xactimate, the aerial images appear in a tool that gives users the ability to easily define the edges, ridges, valleys and faces of a roof. Xactimate then uses this information to create a fully functional sketch of the roof.

Where possible, Xactimate helps the user complete an accurate sketch by snapping to points, filling spaces, and suggesting solutions. After a sketch has been completed from an aerial image, the user then has the ability to indicate on the sketch which measurements have been field-verified.

New Depreciation Options: Xactware has expanded the existing set of depreciation options in v.27.3, allowing a user to define estimate depreciation at a more granular level. This change allows for more user control and flexibility, as may be needed with new legislation requirements in certain areas.

New v.27.3 Depreciation Options:

Data Transfer Backup Added to Scheduler: This new feature allows users to set a Start Time and Day of the Week to run Data Transfer backups. This option is found by clicking the XactAnalysis menu and selecting Connection Scheduler.

Request Price Lists by ZIP CODEPostcode: Xactimate now provides a way for users to request a price list by simply entering a ZIP/postal code. The user enters the ZIP/postal code and Xactware sends the price list that corresponds to the requested ZIP/postal code.

Microsoft Office 2010 Support: Xactimate 27.3 has been tested with and supports Microsoft Office 2010.

To change the default email program

To change the default email program Xactimate uses, select the desired e-mail program under Internet Explorer.
Note: The following steps are for Internet Explorer. The steps may differ if you are using a different web browser.

For Windows XP:

  1. Connect to the Internet, and launch your Internet Explorer.

  2. When your Internet Explorer window appears, click the Tools menu and choose Internet Options.
    If you are using Internet Explorer 8, you may have to click Alt-T to see the Tools menu.

  3. Click the Programs tab.

  4. Click the Email drop-down list button and select the email program you would like to use as your default.
    This could be Microsoft Outlook, Hotmail, Gmail, Internet Explorer, etc.

  5. Click the Apply button, and then click OK.
    You should now be able to launch the correct email program.

For Windows Vista:

  1. Connect to the Internet, and launch your Internet Explorer.

  2. When your Internet Explorer window appears, click the Tools menu and choose Internet Options.
    If you are using Internet Explorer 8, you may have to click Alt-T to see the Tools menu.

  3. Click the Programs tab.

  4. Click the Set Programs  button under Internet Programs.
    This could be Microsoft Outlook, Hotmail, Gmail, Internet Explorer, etc.

  5. Click the Apply button, and then click OK.
    You should now be able to launch the correct email program.






To check the number of licenseslicences installed on a server

If you are unsure how many Xactimate workstations you are allowed to access at once on your network, you can check the number of licenseslicences/tokens installed on the server by connecting to the Internet and logging into Xactimate with supervisory rights.

To do this, follow these steps:

  1. Close all Xactware programs.
    If you are  on a network environment, make sure that no one else on the network is running any Xactware programs.

  2. Connect to the Internet if you are not already connected.

  3. Log in to Xactimate with supervisor rights.

  4. Click the XactAnalysis menu and choose Remove Network Installs.
    Clicking Remove Network Installs does not actually remove any licenseslicences/tokens from your network at this time.

  5. In the Enter key code window, make sure the displayed key code is identical to the key code you used to install Xactimate.

  6. Click the XactAnalysis menu and choose Connect. Then click Next.
    The Remove Installs window appears with the number of Xactimate installs currently on the network. This number is the number of workstations that have been installed. Since the server also needs a token to install, your network actually uses one more token than appears in the Remove Installs window. For example, if there are 5 available to remove, then there are actually 6 installed. This means 6 users can log in to the network at once.

  7. If you do not wish to remove any licenseslicences/tokens from your network at this time, click Cancel.

To create a model statement

  1. To create a model statement, click Document Modules, then click Model Statements from the Control CenterCentre main page.

  2. Click Add on the Model Statement SmartListList.

  3. Enter a name for your statement in the Model Name field.

  4. Enter the text of your statement in the Statement EditorDetail field.

  5. When you're finished, click File, choose Exit, then answer YesSave to save changes.






To create a security group

This feature is only available to users with supervisor rights.

  1. On the Control CenterCentre, select the Preferences tab, then click Security Groups.



    The Security Group SmartListList appears.

  2. Click Add.
    The Security Group Setup window appears.



  3. Enter a code (you can make up this code on the spot) and a description for the new security group.

  4. Select the areas that members of the new security group will have access to.
    You can select all of the components of a security category by clicking the box to its left.
    If you want to select certain components of a category, but not others, click the arrow symbol to expand the category, then select only the components of your choice.



  5. When you have completed your selections, click OK, then click Close to exit the Security Group SmartListList.






To disable the Password feature

This procedure explains how to turn off the password feature so you can log into Xactimate with full security rights without having to enter a password. The procedure assumes that you are currently logged in with full supervisor rights.

Note: By disabling the password feature, you allow your data to be accessed, modified, and even deleted by anyone with access to your computer. Be sure you really want to do this before proceeding.

To disable the Password feature,

  1. Create a new security group.
    1. Click the Preferences menu from the Control CenterCentre, then click Security Groups.
      The Security Group SmartListList appears.
    2. Click the Add button.
      The Security Group Setup window appears.
    3. Type a code that you create (INSECURE, for example) and a description (all rights, for example) in the Code and Description fields.
    4. Click Select All, then click OK.
      You have created a new security group with full security privileges.


  2. Turn off the password feature.
    1. Click the Preferences menu from the Control CenterCentre, then click Security Setup.
      The Preferences Security Setup window appears.
    2. In the Password Usage area of the Security Setup window, click the Not Used radio button.


  3. Add a new user.
    1. Click the Preferences menu from the Control CenterCentre, then click Users.
      The User/Resource SmartListList appears.
    2. Click the Add button and type the new user ID in the User Information window.
    3. Enter your name and title in the fields provided.
    4. Highlight the security group you created in step 1, then cllick Add.
    5. Click OK.

The next time you log in to Xactimate, type the new user ID, leave the password field blank and click OK. Your new ID requires no password and has full security rights.







To edit a security group

This feature is only available to supervisors.

  1. On the Control CenterCentre, select the Preferences tab, then click Security Groups.



    The Security Group SmartListList appears.

  2. Highlight the security group you want to modify, then click Edit.
    The Security Group Setup window appears.

  3. Make any changes to the security group by selecting the areas that members of this security group should have access to. You can select all of the components of a security category by clicking the box to its left.

  4. If you want to select certain components of a category, but not others, click the arrow symbol to expand the category, then select only the components of your choice.



  5. When you have completed your selections, click OK, then Close to exit the Security Group SmartListList.






To find the product key code

To find your product key code, you will need to view the product code information in the About Xactimate window.

  1. On the Control CenterCentre, click the Help menu and choose About Xactimate.

  2. The 20-digit product key code appears near the middle of the About Xactimate window.

To find your product key code, you will need to view the product code information in the Edit Company Account window.

  1. On the Control CenterCentre, click the Security menu and choose Company Account.

  2. The 20-digit product key code appears in the Key Code field.






To import an activity

You can use the Import Activity feature to help create activities to add to your Activity Calendar and Activity Report.

  1. On the Activity Calendar, click the Add button.
    The Add Activity window appears.

  2. Click the Project SmartListList button, select the project this activity is for, then click OK to return to the Add Activity window.

  3. Click the Import button.
    The Activity Import SmartListList appears.

  4. Highlight the process and activity that fit the activity you are recording for the project, then click OK.
    The Activity Import SmartListList disappears and the process, activity, and description you selected are added to the Add Activity window, along with any notes that were associated with the imported activity.

  5. Fill in the additional fields in the Add Activity window, then click OK.
    The activity appears in the Activity Calendar as well as the project's Activity Report.






To log into Xactimate as a new user

To log in as a new user, you will need to log in to Xactimate with a new user ID.

To do this, follow these steps:

  1. Close Xactimate if it is open.

  2. Double-click the Xactimate icon on your Windows Desktop.

  3. In the User ID field, enter a new user ID (one that you have not used before).

  4. Leave the Password field blank and click OK.

  5. Click Yes when asked if you would like to login as a new user.

  6. Click Yes or No if asked if you want a personal password.
    Personal passwords are not required unless your security setup has been modified to require them.

  7. Complete the information in the User Information window and click OK, or click Cancel to skip this window (filling in the User Information window is optional).

You are now logged into Xactimate as a new user.

Note: You will not be able to log in as a new user if this feature has been turned off.







To log into Xactimate to make universal changes

In order to make universal changes in a profile, follow these steps:

  1. Double-click on the Xactimate shortcut on your desktop.

  2. Type your regular user ID and password (if you use a password) and then click OK.

  3. On the Control CenterCentre main page, click the Preferences tab, then click Defaults from the navigation tree on the left side of the window.

  4. Make any necessary changes to the Defaults page, then log out of Xactimate

  5. Since preferences are user specific, you will need to modify the preferences for each user if you want them all to have the same default settings. To do so, log in with each user ID and repeat steps 3–4.

Tip: Make sure to keep all Xactimate user passwords in a secure location. We recommend that you write them down somewhere in case you need them.







To modify password settings

This feature is available to supervisors only. Other users will be able to view Security Setup settings, but cannot modify them. If you need to make a change, but don't have supervisor rights, contact your supervisor.

  1. From Control CenterCentre, click the Services menu, then click Security Setup.
    The Preferences Security Setup window appears.

  2. Modify the password attributes according to your needs.
    The number of values can be increased or decreased by using the spin arrows next to each field.

  3. Choose whether to require password usage, disable it, or make it optional by clicking the appropriate button in the Password Usage area.

  4. If you want to allow new users to log in, verify that the Allow new user login checkbox is checked.

  5. Click the Default Security Group SmartListList button and highlight a security group from the Security Group SmartListList, then click OK.






To remove an Xactimate install token from a network

By connecting to the Internet and logging into Xactimate as a supervisor, you will be able to remove any of your licenseslicences installed on the server. To do this, follow these steps:

  1. Close all Xactware programs.
    If you are on a network environment, make sure that no one else on the network is running any Xactware programs.

  2. Connect to the Internet if you are not already connected.

  3. Log in to Xactimate with supervisory rights.

  4. Click the XactAnalysis menu and choose Remove Network Installs.
    Clicking Remove Network Installs does not actually remove any licenseslicences/tokens from your network at this time.

  5. In the Enter key code window, make sure the displayed key code is identical to the key code you used to install Xactimate.

  6. Click the XactAnalysis menu and choose Connect. Then click Next.
    The Remove Installs window appears with the number of Xactimate installs currently on the network. This number is the number of workstations that have been installed; since the server also needs a token to install, your network actually uses one more token than appears in the Remove Installs window. For example, if there are 5 available to remove, then there are actually 6 installed. This means 6 users can log in to the network at once.

  7. Double-click the number of licenseslicences you have available.
    A window asks how many installs you want to remove.

  8. Select the appropriate number, then click OK.

  9. Click the Next button.
    A connection window appears, then a setup window lets you know that the operation was successful.


  10. Click OK.

To set the security group default

  1. In the Control CenterCentre, click the Services menu, then click Security Setup.
    The Preferences Security Setup window appears.

  2. Click the Default Security Groups SmartListList button.
    The Security Group SmartListList window appears.

  3. Highlight the security group you want all new users to be assigned to by default and click OK.






To set up a new user

This feature is usually available only to supervisors.

  1. Click the Control CenterCentreServicesSecurity menu, then click Users.
    The Users/Resource SmartList List appears.

  2. Click Add.
    The Add New User/Resource window appears.

  3. Enter the IDemail and password of the new user in the Enter new user ID field and click OKSave.
    The User Information window appears. Xactimate returns you to the Users window.

  1. Enter the name and title of the new user.

  1. If this user will be assigned a different security group than the default, click the Security Group SmartListList button to select from the available groups and click OK.

  2. If you want to assign a password to this user:
    1. Click Change Password.
      The Password window appears.
    2. Type the password in the New Password field. Type it again in the Confirm new password field.
    3. Click OK to return to the User Information window.

  3. Click OK to return to the User/Resource SmartListList.

  4. Click Close to exit the User/Resource SmartListList.

  1. Click OK, then click Close to exit the User/Resource SmartListList.






To turn off automatic updates

To stop service packs from automatically being downloaded, you will need to uncheck the option to request updates when connecting to XactAnalysis.

To do this, follow these steps:

  1. Log in to Xactimate with supervisor rights.

  2. From the Control CenterCentre Dashboard window, click the Preferences tab.
    The Preferences General page appears.

  3. In the General window, uncheck the checkbox next to Request Service Packs when connecting.

You will no longer receive service packs when connecting to XactAnalysis.

If you want the updates to automatically run, follow these same steps, making sure there is a check next to Request Service Packs when connecting.







To update to the most recent service pack

In a constant effort to improve our products, Xactware occasionally provides service packs to our customers. Service packs are 2 to 4 MB files that take anywhere from 5 to 50 minutes to download, depending on the speed of your Internet connection.

Note: It is always important to back up all Xactimate data before updating the program. Click here for information on how to prepare for a Xactimate Service Pack.

To download the service pack automatically, follow these steps:

  1. Launch Xactimate and log in with supervisor rights.

  2. From the Control CenterCentre Dashboard window, click the Preferences tab.
    The Preferences General page appears.

  3. In the General window, make sure the Request Service Packs when connecting checkbox is checked.

  4. Click the Dashboard tab.

  5. In the XactAnalysis Communications pane, click the uppermost drop-down button and select Inbox.
    The XactAnalysis Inbox appears.

  6. Click the XactAnalysis menu and choose Connect.
    If there is a service pack available, it will automatically download.

  7. To run the service pack, close all Xactware applications. If you are running Xactimate on a network environment, make sure that there are no Xactware applications running on any of your workstations.

  8. Update your computer and all workstations on your network to the most current version of Xactimate.

  9. After the service pack has been run on all computers with Xactimate installed, you can check to make sure the version has been updated by logging into Xactimate and selecting About Xactimate from the Help menu. The build number is listed after the product key code.






To upload reports in English only

By default, Xactimate creates reports in multiple languages. You can choose to send reports in English (or French, or Spanish.) only.

  1. From the Control CenterCentre main page , click the Preferences tab.

  2. Click Reports in the navigation tree on the left.

  3. Under Additional Report Language Settings, choose <None> from the Report Language drop-down list.

Xactimate will now send reports in English only.

Note: This topic assumes you are working in the English version of Xactimate. If you are working in the French or Spanish version, then following these steps will upload French or Spanish copies of your reports only.







To verify the Xactimate data path

To verify the Xactimate data path, you will need to check the Preferences window or in the Xactware registry key in the Windows Registry Editor.

Note: If you are not able to log in to Xactimate, skip the first two steps and continue by verifying the data path in the Registry Editor.

  1. Launch Xactimate.

  2. From the Control CenterCentre main page, click the Preferences tab, then select Configuration from the menu tree on the left. The Preferences Info page appears. The Suite Data Path field is located at the top of this window.

If you are unable to open Xactimate, you must check the data path in the Registry Editor.

For Windows XP:

  1. From your Windows Desktop, click the Start button, then select Run.

  2. Type regedit in the Open field, then click OK.
    The Registry Editor appears.

  3. Click the [+] next to HKEY_LOCAL_MACHINE.

  4. Click the [+] next to SOFTWARE.

  5. Click the [+] next to Xactware.

  6. Click the Xactimate 27XactRemodel folder.

  7. On the right side of the window, find LOCATION.
    The data path appears in the Data column to the right.

  8. Click the upper right [x] to close the Registry window.

For Windows Vista:

  1. From your Windows Desktop, click the Start button.

  2. Type regedit in the Start Search field, then press Enter.
    The Registry Editor appears.

  3. Click the arrow next to HKEY_LOCAL_MACHINE.

  4. Click the arrow next to SOFTWARE.

  5. Click the arrow next to Xactware.

  6. Click the Xactimate 27XactRemodel folder.

  7. On the right side of the window, find LOCATION.
    The data path appears in the Data column to the right.

  8. Click the upper right [x] to close the Registry window.






To verify the Xactimate version number

To verify the version of Xactimate that you are using, view the version number in the About Xactimate window.

To do this, follow these steps:

  1. From the Control CenterCentre, click the Help menu.

  2. Click About Xactimate.
    On the About Xactimate window, you will see a version number and date (e.g., 27.0.20.43523 7-10-2009). This is the version of Xactimate that you are currently using.
